Position Summary

The Expanded Learning Opportunities Program (ELO-P) Coordinator plays a crucial role in supporting the implementation and management of extended learning programs throughout all ELO-P programs in California. These programs aim to enhance students' academic, social, emotional, and physical development through enriching activities beyond the traditional school day and year.

Key Responsibilities and Duties include supporting and serving as a liaison between the district and internal Right At School departments regarding invoicing, billing, auditing, attendance, and reporting, ultimately enhancing communication and alignment with district partners, particularly district ELO-P coordinators.

A Day in the Life of This Role

Billing and Invoicing:

  • Create strong collaborations with district partners and the RAS internal finance team on all ELO-P services to guarantee compliance with district agreements, state funding requirements, RAS financial protocols, and proper allocation of funds for billing and payment activities.
  • Facilitate timely payments by serving as the communication bridge between clients and our internal collections team, assisting with follow-up on outstanding invoices as needed.
  • Resolve billing discrepancies and invoicing queries from district partners with professionalism and timeliness to maintain positive relationships.

ELO-P/ASES Audit Management:

  • Own and drive all ELO-P/ASES data collection, maintenance, analysis, organization, reporting, and distribution; proactively identifying opportunities to improve accuracy, efficiency, and compliance.
  • Collaborate cross-functionally with operations, DOPs, and partner engagement teams.
  • Serve as a primary point of contact for district and field leader data needs related to ELO-P/ASES.

Attendance & Reporting:

  • Architect and implement systems and processes that seamlessly integrate client needs with RAS registration systems by collaborating with the DOPS and COPs teams.
  • Spearhead troubleshooting efforts for feedback, systems, and processes related to the collection, verification, and maintenance of daily student attendance records, ensuring pinpoint accuracy for audits and reporting.
  • Analyze attendance data to generate insightful reports for the ELO-P support team, identifying key trends, issues, and opportunities for program enhancement and opportunities to fill gaps in enrollment to contractual obligations.
  • Empower Area Managers (AMs) and Regional Managers (RMs) by providing them with training and support on attendance-taking procedures and management systems.
  • Field and respond to all inquiries from auditors and district personnel concerning attendance data and reporting with accuracy and urgency.

Client & Partnership Communication:

  • Lead as the primary internal point of contact for all contractual matters, including the negotiation, execution, and renewal of service agreements.
  • Guarantee that all program operations strictly adhere to the terms and conditions detailed in district contracts and state regulations.
  • Curate and manage organized, up-to-date records of all district contracts and associated legal documents in partnership with the sales team.
  • Cultivate strong, positive relationships between sales and operations through proactive and transparent communication, driving program performance reviews, addressing concerns, and strategizing for future contract negotiations and RFP expansions.
  • Champion the RFP team by providing unwavering support through ongoing communication, strategic planning, and proactive initiatives.

Position Requirements

  • A bachelors degree or equivalent work experience
  • 2+ years of experience with Expanded Learning Opportunities Program (ELO-P) and ASES.
  • Ability to thrive in fast-paced environments, adapt to change, and execute effectively.
  • Demonstrated ability to communicate clear expectations (verbal and written), timelines, and definitions of excellence.
  • Highly organized, analytical (quantitative and qualitative), and solution oriented.
  • Effective prioritization and the ability to manage multiple needs calmly.
  • Ability to travel up to 20%, including overnight stays.
  • Ability to drive to schools and districts within the assigned footprint.
  • Ability to pass background checks, including Motor Vehicle Record check (MVR)
