JOB DESCRIPTION:
Primary Purpose: To provide high-level administrative and clerical support to the Director of Transportation, ensuring efficient daily operations of the department. This position is responsible for maintaining accurate records, supporting financial processes, coordinating communication, and handling confidential information with a high level of organization and professionalism.
RESPONSIBILITIES:
Major Responsibilities and Duties
- Maintain vehicle records, including documentation related to inspections, assignments, and compliance.
- Answer and route incoming calls, take accurate messages, and respond to inquiries as appropriate.
- Perform financial and bookkeeping tasks related to the department, including tracking expenditures and assisting with budget processes. (i.e.-reconciling monthly P-card statements)
- Support the Director with scheduling, meeting coordination, and preparation of materials for meetings or presentations.
- Prepare, process, and distribute correspondence, reports, and other documents as directed by the Director.
- Prepare and distribute Transportation memos when needed.
- Maintain accurate filing systems (electronic and hard copy) for efficient retrieval of information.
- Assist in distribution of department supplies.
- Prepare marketing materials for special events or meetings
- Coordinate all departmental luncheons and events.
- Create work ordesr for the Transportation Department
- Assist in ensuring compliance with district policies, procedures, and recordkeeping requirements.
- Maintain confidentiality of all personnel, financial, and operational information.
- Attend workshops, training sessions, and professional development opportunities as required.
- Demonstrate regular and reliable attendance.
- Perform other duties as assigned by the Director or designee.
EXPERIENCE: QUALIFICATIONS:
Minimum Education/Certification:
- High school diploma or G.E.D.
- Minimum of 30 college credit hours or five years of administrative assistant or related office experience
- Valid Texas driver's license
- Eligible for coverage under the District's vehicle insurance program
Special Knowledge/Skills:
- Proficiency in typing, word processing, and data entry
- Strong organizational skills and attention to detail
- Working knowledge of general office procedures and standard office equipment
- Ability to manage multiple tasks and meet deadlines
- Strong communication and interpersonal skills
- Ability to handle confidential information with discretion
- Proficiency in Microsoft Office (Word, Excel, Outlook)
OTHER INFORMATION:
Equipment Used: Computer (data entry and word processing), printer, scanner, fax machine, typewriter, copier and other office equipment. Working Conditions: Mental/Physical Demands/Environmental Factors: Moderate lifting and carrying (15-44 pounds), reaching above shoulders, use of fingers, walking, operation of motor vehicle, specific visual requirements (using computer), specific hearing requirements (phone conversations). Outside and inside.
