Position Summary: The RPS Client Services Operations Analyst-Distribution Supervisor supports core operational areas including Distribution and Compliance Teams. This role supervises distribution activity and performs compliance testing. These professionals review daily transactions with strong attention to detail while being a motivated selfstarter.

Essential Functions:

  • Provide high standard of customer service to Relationship Managers and Plan Sponsors.
  • Manage and execute multiple responsibilities across compliance and client services desks, ensuring high standards are maintained. Allocate time to compliance duties (60%) and client services duties (40%) during the first five months of the year and adjust to 40% compliance and 60% client services for the remaining months.
  • Review all paperwork being sent out for accuracy.
  • Answer and be available for questions from team members.
  • Process and maintain the force out database while keeping the Fees out current.
  • Work with Administration team on the lost participant policy.
  • Experienced and proficient in the monthly and annual reconciliation process.
  • Review eligibility of the safe harbor plans annually.
  • Research and reconcile processing errors and/or issues related to production work.
  • Respond to basic technical and data related questions from clients and business partners.
  • Perform and analyze all required non-discrimination tests and communicate results to the appropriate external and internal parties.
  • Communicate testing results and requirements with Plan Sponsor.
  • Keep informed of technical/legislative changes that impact compliance testing.
  • Maintain Mandatory Distribution database that includes Required Minimum Distributions, required transfer distributions to individual retirement plans and other plan clean up.
  • Stay up to date and knowledgeable of review of vesting, annual reconciliations process and compliance testing.
  • Responsible for developing new procedures and keeping current procedures up to date.
  • Conduct detailed reviews of distribution activities to ensure accuracy, completeness, and compliance with internal controls and regulatory standards.
  • Provide leadership, coaching, and performance management for distribution team members, including training and development.
  • Supervise and manage day-to-day distribution activities to ensure accuracy and timeliness.
  • Supervise and manage daily distribution activities, addressing errors and overseeing corrective actions as needed
  • Provide quality control oversight for funds leaving the trust, including review and approval of ACH transactions.
  • Perform research and provide solutions in an independent manner.
  • Ensure direct reports are trained and comply with all applicable bank policy, laws, and regulations applicable to their roles. Monitor their adherence to internal controls and take action to address performance issues.
  • Understand and adhere to all applicable bank policies, laws, and regulations applicable to the role. Complete required compliance training. Follow internal processes and controls as required.
  • Report all compliance issues, violations of law or regulations in accordance with the steps defined in Bank policies.
  • Perform or assist with other job related duties or special projects as assigned.
  • Regular and reliable attendance is an essential function of this position.

Qualifications:

  • At least 3 years of related experience is required.
  • Defined contribution retirement plan experience is required.
  • Proficient knowledge in Microsoft Office products and in working with other bank software.
  • Strong accounting/reconcilement skills required.
  • Thorough knowledge of database management software preferred.
  • Ability to simultaneously identify, prioritize and address multiple issues and quickly respond to shifts in priorities; demonstrates flexibility and adaptability.
  • Willing to obtain QKA designation within 2 years.
  • Strong understanding of ERISA.
  • Ability to perform complex calculations and accurately determine eligibility.
