Job Summary:
To coordinate all requests, scheduling, tracking and billing of school-owned and charter field trips, activity trips and special events for Mesa Public Schools.
Key Responsibilities:
- Coordinate all requests, scheduling, tracking and billing of school-owned and charter field trips, activity trips and special events for Mesa Public Schools
- Perform all necessary department bookkeeping, billing and recordkeeping functions for field trip cost and data bank accountability; verify billing accuracy
- Monitor and prepare expenditure reports of funds used for field trips and activity trips
- Complete required monthly and annual reports
- Provide technical assistance to all schools relative to field trip scheduling
- Provide prompt management of trip emergencies
- Assign and dispatch field trip and activity buses and drivers
- Perform general office duties
- Communicate with contractors relative to charter trips
- Assist other personnel as may be required for the purpose of supporting them in the completion of their work activities
- Assists with other assigned duties as appropriate to the area of assignment and Mesa Public Schools
Required Qualifications:
- High school diploma or equivalent

- Moderate proficiency in typing, with good accuracy; excellent test battery; excellent knowledge of grammar and spelling
- Computer proficiency to include use of basic software applications (Word, Excel, etc.)
- Ability to organize and prioritize multiple tasks and to meet deadlines while working with frequent interruptions and minimum supervision; accuracy and attention to detail a must
- Ability to establish and maintain detailed accurate records
- Ability to communicate effectively (verbal and written); to establish and maintain effective working relationships with district personnel, contractors and public
- Ability and willingness to work overtime and to perform 'on-call' duties as needed, weekends and evenings possible
Work Environment & Physical Requirements:
- Working primarily in a school district office setting
- Frequent use of computers for scheduling, communication, and recordkeeping
- Regular meetings with teachers, principals, transportation staff, and vendors
- Occasional site inspections of trip locations to ensure safety and appropriateness
- Requires walking, standing, and possibly extended periods outdoors during site visits or field trips
- Occasionally may need to lift or carry materials (e.g., forms, supplies, emergency kits), typically under 25 pounds
