Position Overview
The Dispatch Coordinator is responsible for managing daily dispatch operations, overseeing drivers, coordinating pickups and deliveries, handling freight paperwork and billing, and ensuring all shipments are completed accurately and on schedule.
This role requires strong communication, organization, and logistics coordination skills to maintain smooth operations between drivers, customers, and internal systems.
Key Responsibilities
Dispatch & Driver Coordination
Answer incoming calls and communicate with customers and drivers
Dispatch drivers and coordinate daily pickup and delivery schedules
Monitor delivery progress and ensure shipments are completed on time
Oversee drivers and provide operational support throughout the day
Resolve scheduling issues and adjust routes as needed
Pickup & Delivery Oversight
Confirm shipment details with customers prior to pickup
Verify that freight is in proper condition before pickup and delivery
Ensure correct items are picked up and delivered to the proper locations
Manage returns and ensure they are picked up and delivered on schedule
Documentation & Freight Billing
Handle freight paperwork and billing documentation
Ensure invoices are printed, signed, and properly recorded
Track and manage C.O.D. (Cash on Delivery) payments, ensuring they are timely submitted
Maintain accurate delivery records and shipment documentation
Office Operations
Manage daily office logistics and administrative tasks
Maintain organized shipment records and documentation
Assist with operational coordination across company systems
Qualifications
35+ years of dispatching experience in logistics, transportation, or delivery operations
High School Diploma or equivalent
Strong phone communication and customer service skills
Computer literate with strong data entry and office software skills
Experience with order management systems or dispatch software
Experience working with delivery fleets or freight companies
Familiarity with freight documentation, billing, and logistics workflows
Strong organizational and problem-solving abilities
Ability to multitask in a fast-paced environment
