Shipping Clerk / Shipping Coordinator Job Description The Shipping Clerk / Shipping Coordinator supports a high-volume distribution center by handling all administrative shipping and receiving activities. This role prints, organizes, and processes inbound and outbound paperwork, maintains accurate inventory records, and serves as the department's expert user of the AX system. You work primarily independently, help resolve order and inventory issues, and play an important part in maintaining a safe and efficient operation. Responsibilities Handle all administrative duties for the distribution center related to shipping, receiving, and inventory control. Print, organize, and process inbound paperwork such as purchase orders, transfer orders, and related documents. Print, organize, and process outbound paperwork including sales orders, transfer orders, bills of lading (including shuttle BOLs), packing lists, and other shipping documents. Investigate order release issues and work to resolve them promptly to keep orders moving on schedule. Complete location movement and inventory adjustment transactions in the system as requested. Scan and file documents electronically to maintain accurate and accessible digital records. File paper documents in an organized manner for easy retrieval and audit purposes. Update inventory statuses as needed to reflect accurate stock availability and product condition. Run and firm planned transfer orders in the AX system to support inventory movement between locations. Monitor email frequently throughout the day and complete or delegate incoming requests in a timely manner. Become the AX system expert within the department and serve as a resource for others on system-related questions. Work the majority of the time unsupervised while maintaining accuracy, productivity, and adherence to procedures. Initiate preventive actions and recommend solutions when you identify potential issues or process improvements. Halt any unsafe activity when necessary and support a culture of safety in the distribution center. Follow all company safety policies and procedures at all times. Maintain a clean and safe working environment in and around the distribution and shipping areas. Execute additional activities and tasks as assigned to support shipping, production, and warehouse operations. Support responsibilities involving food safety when applicable to products or processes handled in the facility. Perform accurate and timely data entry related to shipping, receiving, production, and inventory transactions. Use computers and Microsoft Office tools to complete daily tasks, documentation, and reporting. Essential Skills Proficient computer skills for daily use in shipping, inventory, and administrative tasks. Ability to learn and become an expert user of the AX (ERP) system for shipping and inventory transactions. Strong data entry skills with attention to detail and accuracy. Ability to work independently for the majority of the time with minimal supervision. Capability to monitor and respond to email requests in a timely and organized manner. Ability to follow established safety policies and halt unsafe activities when necessary. Organizational skills to manage large volumes of paperwork and electronic files. Ability to perform inventory adjustments, location movements, and status updates in a computer system. Basic proficiency with Microsoft Office applications for documentation and communication. Additional Skills & Qualifications Experience in shipping, distribution, warehouse, or production clerk roles is beneficial. Familiarity with processing purchase orders, sales orders, transfer orders, bills of lading, and packing lists is an advantage. Experience working with ERP systems, particularly AX or similar platforms, is preferred. Comfort working in a safety-sensitive environment with chemicals and industrial equipment. Work Environment This role is based at a large, historic industrial facility composed of multiple interconnected buildings on a single city block. The site includes a secured entrance with a security checkpoint and chain-linked fencing, with designated parking areas and a crosswalk for safe entry into the building. The facility houses several major production environments that use fillers, cappers, sealers, and case erectors to mix and fill containers with oils, cleaning solutions, and other industrial chemicals, as well as extensive warehouse areas that hold a significant portion of the company's inventory. The interior layout is complex and maze-like, requiring employees to move between multiple buildings as part of their daily work. Only one area of the facility is temperature controlled, so conditions can become warm in the summer; to support comfort and safety, the company regularly provides Gatorade and ice cream during hot weather. The site employs more than 250 people, creating a busy, high-activity environment. This position involves safety-sensitive functions in an industrial setting with chemicals and production equipment, and steel-toed boots and uniforms are provided upon becoming a permanent employee. The standard schedule is Monday through Friday from 6:00 a.m. to 2:30 p.m., with overtime as needed. Job Type & Location This is a Contract to Hire position based out of North Chicago, IL.
