Shipping Coordinator Job Description The Shipping Coordinator manages all outbound shipment activities for both domestic and export orders, ensuring accurate documentation, timely pickups, and strong communication with logistics providers, warehouse and supply chain teams, and customer service. This role monitors inventory, creates deliveries and transfer orders, and responds to inquiries in a prompt, courteous, and effective manner while maintaining a strong focus on safety, accuracy, and on-time shipping performance. Responsibilities Manage all outbound shipment activities, including monitoring inventory, creating deliveries and transfer orders, and ensuring accurate and timely shipment processing. Generate all paperwork and documentation required for outbound shipments, ensuring all orders are checked for special requests and warehouse instructions. Post goods issue in the system when goods are picked up, maintaining accurate and up-to-date shipment records. Coordinate shipment pick-ups with logistics providers, including scheduling, follow-up, and expediting orders when necessary. Interact with logistics providers by phone and email in a professional, courteous, and timely manner. Handle both export and domestic shipments, ensuring compliance with required procedures and documentation standards. Maintain a current and accurate procedure book that details the processing requirements for outbound shipments. Build and maintain sustainable relationships and trust with warehouse, supply chain, and customer service colleagues through open and interactive communication. Provide accurate, valid, and complete information by using the appropriate methods, tools, and systems. Respond promptly to inquiries and questions related to shipments, documentation, and logistics. Meet personal and warehouse team goals, including on-time shipping and documentation accuracy targets. Perform all tasks in a safe manner, comply with all safety rules, and identify and report unsafe operations to supervision. Maintain a good working relationship with internal and external customers, handling concerns with professionalism and a positive attitude. Follow established communication procedures, guidelines, and policies in all interactions. Listen, document, and help resolve shipment conflicts, escalating issues when necessary. Provide timely feedback to management regarding operational challenges or customer concerns. Assist with training in areas of familiarity to support team development and knowledge sharing. Remain accountable for maintaining housekeeping expectations in work areas, keeping spaces clean and organized. Essential Skills Previous forklift operating experience in a production and warehouse setting. Hands-on experience with shipping and receiving operations. Ability to monitor inventory and process deliveries and transfer orders accurately. Proficiency with SAP or similar enterprise systems for posting goods issues and managing outbound shipments. Experience coordinating outbound transportation with logistics providers for both domestic and export shipments. Strong customer service skills, including professional phone and email communication. Proficiency with Microsoft Office, including Microsoft Excel, for documentation and reporting. Ability to follow established communication procedures, guidelines, and policies. Strong attention to detail with a focus on documentation accuracy and on-time shipping. Ability to work effectively as a team player, providing and receiving feedback and assisting colleagues when needed. Commitment to working safely and following all safety rules and procedures. Work Environment This role is based in a production and warehouse environment that may or may not be air conditioned or heated, and conditions can be humid, hot, or cold depending on the season. You may be exposed to hot and/or abrasive surfaces, moving machinery, and moving objects on the production floor. At certain locations, noise levels can exceed 90 decibels for extended periods, and floor surfaces may be slippery at times. The position may require working in tight spaces on occasion and at heights on a daily basis. Standard warehouse and safety attire, including appropriate personal protective equipment, is expected in accordance with site safety rules and housekeeping standards.
