Position Summary

Under limited supervision, this multi-faceted position provides support for various material management tasks across multiple business units. Provides service for Power Delivery Engineering (PDE), Enterprise Project Management Office (EPMO), Warehouse, and Procurement. Supports project specific flow of materials from the requesting phase/planning through contractor hand-off and/or project close-out. Provides internal coordination with the noted business units to categorize, request and track inventoried and ordered materials needed for District capital projects.

Essential duties and responsibilities may include, but are not limited to, the following:

  • By direction from PDE, commits stock materials in the District’s Enterprise Resource Planning (ERP) system from the Engineering Bill of Materials or other Engineering documents.
  • Monitors stock levels of material commitments and any necessary re-commitments in District ERP system.
  • Assist in developing material contracts.
  • By direction and coordination with PDE, initiates non-stock purchase order requests to Procurement.
  • Tracks all open orders (stock and non-stock).
  • Monitors and reports on open orders and any impacts on project schedule.
  • Assists with expediting orders.
  • Communicates and coordinates with project manager and Engineer on risks, issues, and status of materials.
  • Create a cross reference for material names used by manufacturers, contractors and internal Grant PUD functional groups.
  • Work with Project Manager to mitigate risks.
  • Assist PDE and other key PUD stakeholders in developing standards templates for new materials and ensuring current standards related to active construction projects are in place and/or reviewed when necessary due to change in manufacturer information.
  • Provides Project Manager with forecasted invoice payment dates on ordered material.
  • Coordinates with Warehouse operations to identify storage areas for stagged and ordered materials. Strategizes with Warehouse, EPMO, Lands and other PUD departments when non PUD owned facilities are needed for material storage related to projects.
  • Maintains tracking of transmission and distribution related materials and their current lead times through routine coordination with utility distributors and other utility supply chain organizations.
  • Identifies like materials and ensures that they are classified the same across all District warehouse facilities.
  • Coordinates with Warehouse operations and Project Manager to identify any offsite material storage locations. May include coordination with Transportation if specialized material handling equipment is needed.
  • Coordinates with Warehouse operations to verify materials delivered are correctly labeled, staged, and stored for the appropriate project.
  • Coordinates with the labor contractor to hand over materials.
  • Coordinates with the labor contractor and warehouse operations to return unused materials. Reallocates or designates storage locations for unused non-stock materials.
  • Coordinates with Engineering to update drawings for future projects.
  • Coordinates with Warehouse operations to forecast critical material needs.
  • May operate a District Vehicle.
  • Demonstrated commitment to Grant PUD’s mission, vision, values, strategic plan and Grant PUD / IBEW Local 77 Code of Excellence. The incumbent should be familiar with these organizational priorities and behave in a way that aligns with these expectations.
  • Understand and adhere to compliance requirements for this position that may include laws, regulations, security guidelines, Grant PUD policies and procedures.
  • Actively participate in all aspects of our safety program, including but not limited to:
    • Following all safety policies and procedures.
    • Alerting supervisors and coworkers to unsafe or hazardous working conditions.
    • Reporting any safety incidents or close calls within 24 hours to your supervisor; and
    • Accepting feedback from supervisors and coworkers regarding your own safety performance.

Required Qualifications ( Education, Experience, Licenses & Certifications):

  • Associate degree, or 1 additional year of relevant experience in lieu of degree.
  • 2 years’ experience in materials management, data analytics, or supply chain field, preferably materials used in utility transmission and distribution electrical systems.
  • A valid driver’s license with no driving restrictions.

Preferred Qualifications ( Education, Experience, Licenses & Certifications):

  • Bachelor’s degree in business or supply chain field.
  • 5 years’ experience in materials management, data analytics, or supply chain field, preferably materials used in utility transmission and distribution electrical systems.
