Job Description




Primary Purpose of Position

Under the direction of the Director of Purchasing and in full compliance with the employee handbook and all applicable laws, rules, and regulations, the Fleet Coordinator will perform all duties outlined in this position description.

The Fleet Coordinator is responsible for the monitoring, maintenance, and improvements to the Harvest fleet and monitored drivers. This role is crucial for ensuring the safety of Harvest employees, customers, and the public that are in contact with our vehicles and equipment.

Major Responsibilities of Position

Reporting Management

  • Register, obtain licenses, and insure the companys vehicles, trailers, and construction equipment.
  • Maintain all vehicle information and inspection records
  • Secure the fleets compliance with applicable regulations
  • Report fleet performance and finances to upper management
  • Report to federal and state agencies
  • Fuel tracking and IFTA reporting


Vehicle Assignment and Asset Management

  • Secure vehicles, drivers (during work-related activities), and relevant assets
  • Develop, oversee and schedule vehicle & equipment inspection, maintenance, and servicing to minimize downtime.
  • Partner with reputable repair and maintenance shops in favorable locations
  • Analyze fleet performance data and improve accordingly
  • Own the vehicle tracking system (Reveal).
  • Lifecycle tracking of assets (vehicles & equipment).
  • Periodic vehicle inspection to verify that maintenance is being performed as specified and vehicles are in good condition
  • Meetings with operators to discuss any suspected issues with equipment or vehicles


Driver Management

  • Ensure that drivers follow their designated working hours
  • Securely store driver records
  • Ensure compliance with FMCSA and DOT.
  • Monitor the vehicle tracking system to ensure all employees are following company vehicle policy.
  • Work with HR to pre-qualify potential employees, maintain licensure, and perform random drug screening and medical clearance.


Other duties as required, including special projects as they arise.

Personal Competencies (Knowledge, Skills, Abilities, and Other Attributes):

  • Ability to complete the major responsibilities of the position effectively and efficiently
  • Ability to exhibit a high level of confidentiality as it relates to associates personal and protected information.
  • Strong organizational skills, with a proven ability to handle multiple tasks efficiently.
  • Excellent communication and interpersonal skills for effective dealings with governmental agencies, service companies, and employees.
  • High level of proficiency in MS Office.
  • Independent worker with the ability to drive processes forward.
  • Basic understanding and familiarity with automobile and equipment functions, components, and maintenance points


Educational and Certification Background

Associates degree in related discipline. 2 years of directly related experience or may substitute for 1 year of university degree.

Two years directly related experience, or 2 years of strong administrative experience. Required

Valid State Drivers License, chauffers' required; CDL preferred - willing to train the right candidate

Safety Certification, i.e., OSHA 10, etc, preferred - willing to train the right candidate

Fleet Administrator Certification, preferred - willing to train the right candidate
